Job Description

Our client is a revolutionary healthcare solutions provider dedicated to serving the agricultural community by meeting employer benefits needs, assisting members with compliance regulations, and advocacy with policymakers. They are seeking a Corporate Event Planner to act as the primary point of contact from conception to completion for all events. The candidate will liaise with stakeholders and patrons from the planning stage through the event day, ensuring flawless execution of high-profile events.

Qualifications:

- A keen eye for detail, exact about deadlines, and cool under pressure

- Familiarity and confidence with high-profile guests and C-Level executives

- A high degree of ownership and professional commitment

- Bachelor’s degree with 3-5 years of experience in a similar corporate role; or equivalent combination of education and experience

- Strong MS Outlook skills and hands’-on experience with event online registration software

Responsibilities:

- Oversee all company events details including décor, catering, entertainment, transportation, location, invitee list, special guests, and materials to exceed expectations for a high-touch client experience

- Track RSVPs, revise room layout, order promotional items, and obtain all event documentation and special requirements from all parties

- Create and coordinate distribution of event communications and marketing materials including signage and nametags

- Manage and resource vendors, partners, and other third parties, including negotiating contracts for facilities, entertainment, security, catering, and audio-visual equipment

- Cultivate positive working relationships with event vendors while ensuring adherence to contractual duties and compliance with insurance, legal, health and safety requirements

- Maintain and update events calendar, marketing material, facility use agreements, and intranet content

- Create event budgets; process and approve event-related invoices; verify and reconcile expenses

- Anticipate and address emerging issues as event approaches; specify staff requirements and coordinate their activities on event day

- Maintain a high degree of composure and interpersonal skills in high pressure moments while maintaining a solution driven mindset
