Position Summary
The primary purpose of the Administrative Assistant is to perform the day-to-day administrative office tasks including filing, answering telephones, scheduling, etc. on a professional level. Duties and responsibilities will extend to customer service and operations administration, and partner relations. This position will also support administrative functions for supervisors, managers, and employees.

 Promptly and professionally answers telephones
 Communicates with callers via telephone and other appropriate assigned electronic methods
 Receives, transfers, and routes calls appropriately
 Obtains and communicates appropriate caller information; delivers messages to appropriate offices
 Notifies assigned TxDOT supervisors of any technical or equipment problems
 Maintains customer communication documentation records using appropriate systems
 Delivers excellent customer services
 Communicates with industry partners as appropriate
 Provides accurate information, answers, and maintains quality interactions with all personnel and callers
 Accurately files using the appropriate system
 Scans and copies documents
 Participates in supply procurement/management, documents requests for supplies
 Welcomes visitors and directs them to the appropriate office/location; answers questions, provides guidance as appropriate
 Maintains cleanliness of reception, and all common areas
 Participates in staff and other meetings as appropriate
 Continues development of personal and professional skills and establishes and participates in industry and other professional networks to ensure awareness of regulatory and other trends that may affect the business or direction of the company’s initiatives, policies and programs
 Works closely with key personnel and contacts for seamless integration of responsibilities and functions
 Consistently meets and/or exceeds productivity goals; meets competing deadlines; adheres to outside contractual requirements
 Arrives to work on time, and works full shifts; must maintain an excellent attendance record
 Follows through on all actions to ensure 100% deadline compliance
 All other duties as assigned for the successful execution and/or completion of various projects whether or not specifically assigned

Required Knowledge, Skills and Abilities

 1+ years’ experience as a receptionist; administrative assistant, secretary, or similar position
 Basic understanding of administrative and clerical procedures and systems
 MUST be able to handle disgruntled customer conversations professionally
 Prior experience with multi-line telephone systems
 Strong ability to maintain confidentiality
 Strong time management, organization, and communication skills; detail-oriented
 Solid judgment, foresight, problem-solving, analytical, and business acumen skills; strong attention to details
 Able to multitask effectively
 Self-motivated with the ability to work alone or as a team member on a broad variety of projects
 Ability to work extended hours and various work schedules as needed including overtime and weekends
 Ability to speak, write, and follow instructions and read the English language
 Ability to demonstrate moral character, honesty, tact, fairness, patience, lack of prejudice and desire to help when dealing with people of varying social, cultural, and economic backgrounds; creates and promotes a harmonious work environment
 Ability to perform in a professional appearance and manner
 Able to establish and maintain healthy working relationships with people
 Advanced knowledge of Microsoft Outlook, Word, and Excel

Education, Certificates, Licenses, Registrations:

 High School Diploma or equivalent preferred
 Clean drug screen and background record at all times
